PERFUME PROCUREMENT

Buying Wholesale Perfume for a New Store: Your First-Order Guide

Your first perfume order shapes what customers see, what your team can explain and how much money is committed to stock. Before adding more products, give each item a clear reason to be in the assortment.

This guide helps new fragrance shops, beauty retailers and online sellers prepare a focused wholesale order. Start with your customers, build a shortlist, compare samples and confirm the terms for each product before committing to quantities.

Describe the customer you want to serve

Write a short buying brief for your store. Include who you expect to buy, how they will discover the products and the type of purchase you want to support.

For example, are you planning a gift-focused display, adding fragrance to an existing beauty shop or opening an online assortment with a few clearly differentiated choices? These are planning directions, rather than predictions of what will sell.

Record four starting points:

  • Your customers and sales channel.
  • The intended retail price range.
  • Product formats and sizes you want to consider.
  • The amount you can allocate to stock, samples and delivery.

When you discuss options with a supplier, this brief helps explain why one product may fit your plan better than another.

Give each shortlisted product a role

You can build a small assortment around distinct customer preferences or shopping occasions. Ask for the product information and samples needed to evaluate each choice.

A planning sheet might look like this:

Role in the assortment Candidate product Question to resolve before buying Planned quantity
An everyday fragrance option Add a product link Does the sample fit the customer preference you are targeting? Decide after review
A different scent direction Add a product link Is the difference clear enough to explain to a customer? Decide after review
A gift-focused option Add a product link Are the presentation, size and total cost suitable? Decide after review
A possible later addition Keep a reference What evidence would justify adding this product? Leave out of the first order if undecided

The rows are a planning example, not a fixed bundle or a recommendation to stock four specific products. Use only the roles that make sense for your business.

Browse the TopPerfume fragrance collection to identify actual product references. Where fragrance notes or other details are not listed, ask for the information rather than inferring it from the bottle colour or product name.

Compare samples before deciding the full quantity

For each sample, record the product name, size and the reference supplied. Keep scent preference separate from packaging observations so you can explain why you prefer one option.

You may want to compare:

  • Your impression of the fragrance and how it develops during your observation.
  • How you would describe it to your intended customers.
  • The spray, cap, bottle and packaging as received.
  • Whether the supplied product information answers your retail questions.

Use reasonably consistent conditions when comparing samples, and record the time and context of any longevity observations. Your own sample notes support a buying decision; they are not a substitute for substantiated product performance claims.

Ask the supplier to clarify any mismatch between the sample, the product description and the proposed bulk supply before proceeding.

Confirm buying terms product by product

A low minimum advertised for one item does not establish the minimum for an entire catalogue. Check the exact SKU and any variants you want to order.

For example, the Lattafa Khamrah 100 mL product page provides an individual product reference and its listed order terms. Use the current page and a written quotation for that item, then repeat the check for each additional product.

Ask these questions:

  1. What is the current minimum for this exact product or variant?
  2. Can my proposed order contain different products, and what minimum applies to each?
  3. Is the requested quantity available for the planned order?
  4. What packaging is included with the quoted item?
  5. What sample, dispatch and delivery arrangements apply?

If your plan includes your own logo, describe it as a separate project. TopPerfume’s wholesale and private-label routes have different starting points and require product-specific confirmation.

Compare the cost of getting the order to your business

Keep the product subtotal separate from the full purchasing cost. Use the actual quotation for your destination and scope.

Cost item What to record
Products Unit price multiplied by the agreed quantity for each item
Samples Any agreed sample and sample-shipping charges
Extra work Agreed branding, packaging or other project charges, if applicable
Freight and handling The quoted transport scope and any stated exclusions
Other applicable charges Amounts confirmed for your transaction and destination

Compare suppliers on the same product specification, quantities and included services. If an amount is unknown, keep it visible as an item to confirm rather than treating it as zero.

TopPerfume’s order information explains that listed product subtotals exclude shipping and taxes and that transaction arrangements are agreed for each order.

Plan how you will explain the products

A useful assortment gives you clear information to share with shoppers. Prepare a short product card for each selected item using confirmed details.

Include the name, size, product presentation and any verified fragrance information. Add your own sample observations where appropriate, clearly identified as observations. If a customer asks about a detail you have not confirmed, return to the supplier for the information.

For online selling, use product images that match what you will supply. For a physical display, consider how the packaging and product information will help customers compare the choices. This preparation also reveals gaps before you purchase the full assortment.

Keep a simple first-order and reorder record

After launch, track what customers ask about, what sells and what remains in stock. Separate sales from interest: a product receiving questions may still need better information, a different presentation or further sample review.

Before placing the first order, ask how to identify the same product for a repeat purchase, how availability is confirmed and what buying terms may change. Keep the supplier reference and agreed specification with your order record.

Use your early results to decide whether to reorder, adjust quantities or add another product. A new item should have a clear role in the assortment.

Questions new buyers often ask

How many perfume products should a new store start with?

There is no fixed count in this guide. Choose a number you can sample, explain and fund within your plan. The planning sheet helps you give each selected product a purpose.

Can I mix different perfumes in one order?

Send the proposed product list and quantity for each item. Mixed-order eligibility and minimum quantities need to be confirmed against those products.

Should I begin with wholesale products or my own brand?

Decide what your first launch requires. Finished-product wholesale and a private-label project involve different product choices, quantities and approvals. Compare the actual options against your customers, budget and timing.

What information should I send to get a useful quote?

Include your destination, product links, quantity per item, planned timing and any sample or customization request. Mention the questions you still need help resolving.
