You have received a perfume quotation, but the company name differs from the website’s trading name, the product description does not fully match your chosen SKU, or the payment recipient is another entity. These differences need an explanation before you accept or pay for the order. Match the company, product, quotation and payment records to establish who is supplying what, under which terms.
This guide provides a document-matching workflow for branded wholesale purchases and independent private-label projects. Verification helps you identify and resolve missing information; it is not certification of a supplier or a guarantee of an order’s outcome.

Verify who you are actually buying from
Start a record for the proposed order. Keep the supplier’s replies and documents together, using the same product or project reference throughout.
Connect the trading name, company and contact
Ask for the company name behind the trading name or website, its stated business address and registration jurisdiction, and the contact responsible for your inquiry. Where an appropriate public company register is available, use the supplied details to check that you are looking at the intended entity.
Compare that information with:
- The company or trading name shown on the website.
- The email address, domain and other contact channels being used.
- The entity named on the quotation.
- The proposed seller or invoicing entity.
- The payment recipient identified for the order.
These names may describe different parts of a business arrangement. A trading name can differ from a company name; another entity may be involved in a transaction. Obtain and check the explanation rather than assume the difference is harmless or automatically dishonest.
Company information helps identify the business. Product authenticity, stock availability, brand relationships and the proposed supply require their own supporting information.
Identify what each document represents
Keep a dated copy of the quotation and note its version or reference. If you receive a revised quote, retain the earlier version and identify what changed.
A quotation describes a proposed supply. An invoice or order confirmation should be checked against the terms you accepted. Payment instructions identify where a payment is requested; a payment receipt records a payment.
If the documents use different names or references, ask which entity is selling to you and how the documents relate to the same order.
Clarify the supplier’s role in the perfume project
A supplier’s role should explain its responsibilities, not simply sound reassuring.

One business may perform more than one role. Different roles do not automatically mean better or worse supply. The question is whether the description matches the actual arrangement.
For a custom project, ask who will confirm the fragrance, bottle, decoration and packaging scope, and who will communicate changes. A general statement that a supplier “handles everything” leaves those responsibilities unclear.

Separate a product listing from a brand relationship
A branded product listing does not prove authorization from the brand. If a supplier claims to be an authorized distributor or official partner, ask for information supporting that specific relationship, including its scope and how it can be checked.
Product images, invoices and batch references serve different purposes and should not be treated as automatic proof of authorization. Record whether the claimed relationship has been supported; an unanswered authorization question alone does not establish that the goods are counterfeit.
Match the product or project to the quote
Give every proposed order line an exact reference. Compare the product information you selected with the supplier’s quotation and any sample reference.
Check the product name, brand, SKU or supplier code, capacity, format, specification, version and quantity unit. If a supplier uses a different code from the website, ask it to confirm the correspondence in writing.

Keep branded wholesale and private label separate
For branded wholesale, establish the exact finished product and packaging being offered. For a private-label project, establish the eligible product or configuration and the changes the supplier has accepted.
A low wholesale MOQ for an existing product does not mean that product can carry your logo. A website’s private-label service also does not establish that every branded SKU can be relabelled, repackaged or supplied with a different fragrance.
Ask separately:
- Is this quotation for the existing branded product or an independent private-label project?
- Which product or configuration is eligible for the requested customization?
- Where will the logo appear, and which artwork version is being discussed?
- What packaging and fragrance changes, if any, have been accepted?
- What quantity requirement applies to that specific scope?

They do not establish that every packaging component has the same minimum, that multiple SKUs can share a minimum, or that a branded wholesale product is eligible for customization.
Review the wholesale and private-label routes for the service context. If component quantities differ from your finished-order target, use the packaging quantity-planning guide rather than inventing a new finished-product MOQ.
Check what the quotation actually includes
Check one quotation against your intended order before comparing it with another offer. A unit price is difficult to interpret when the product, packaging or customization scope is incomplete.
For each scope item, record Included, Not included or Still to confirm, together with the supplier’s supporting reference. A blank field is not a zero charge or an agreement.

For a bundled price, ask the supplier to describe what the bundle includes. You do not need to invent a price for every component, but you do need to know the agreed supply.
Request explicit confirmation of exclusions too. “Packaging included” is less useful than an identified bottle-and-carton configuration. “Custom fragrance” does not automatically establish formula ownership or exclusivity.

Separate samples, dispatch, production and delivery
These terms answer different questions and should have separate entries in your order record.
Confirm the sample’s scope and charges
For TopPerfume, sample availability can be confirmed for the selected product or project. Samples are charged, and shipping is paid by the buyer.
Ask for the actual sample and shipping amounts for your request. Do not assume a sample charge will be credited against a later order unless that arrangement is expressly confirmed.
Record whether the sample represents the fragrance alone, a finished retail product or an agreed custom configuration. A sample does not confirm the full bulk order: identify the components and versions it covers, along with any differences still requiring approval. Paying for a sample also does not automatically reserve wholesale stock.

Record the timeline by stage

Ask what “order confirmation” means for your proposed transaction and which decisions remain outstanding. Buyer-paid freight does not, by itself, define the shipping service, customs arrangements, taxes or other delivery responsibilities.
Verify payment and transaction records before paying
Compare the payment recipient, seller and invoice entity with the commercial documents. If the names differ, ask how they are related and which entity is responsible for the sale. Matching names do not guarantee safety; unexplained differences require clarification.
If payment instructions change suddenly, reconfirm them through a previously verified or independently obtained company contact channel—not only by replying to the message announcing the change. This follows the FBI’s guidance on business email compromise.
Keep the dated quotation, invoice or order confirmation, agreed written terms and verified payment instructions under the same order reference. Add the payment receipt when applicable; dispatch and delivery need separate records.

What to do when information does not match
Do not resolve a difference by choosing whichever document seems more convenient. Identify the conflicting fields, ask a precise question and request a clear record of the answer.

- Name the difference. Identify both documents or messages, their dates and the fields that disagree.
- Ask what each reference means. The difference may concern identity, scope, version or timing.
- Request the applicable terms in writing. Ask which entity, product, quantity or condition will apply to your order.
- Obtain a correction where necessary. A revised quote should identify the accepted scope and any resulting changes.
- Recheck affected fields. A packaging or fragrance change may require quantity, price, sample and timing confirmation again.
- Keep unresolved items open. Pause the affected approval or payment step if you cannot establish what you would be accepting.

A buyer receives a quotation for a branded wholesale perfume. Later, a message says a logo request can be discussed, but the quote still identifies the original branded product and contains no branding scope.
The buyer should not interpret that message as approval to customize the quoted SKU.
The next question is: “Does the logo discussion concern this exact product or a separate private-label option? Please identify the eligible product and the branding scope before revising the quote.”
If a separate option is proposed, it needs its own confirmed reference, quantity, price, packaging, sample scope and timing. If eligibility remains unanswered, the logo requirement stays unresolved. The original wholesale quotation has not become a private-label agreement.
This is the value of matching records: it exposes the missing decision without inventing the answer.
